Linking a Visit to a Document Without an Appointment
In PrimeSuite, you have the ability to create a note and not attach it to a visit. When this is done and billing has been generated, it is best to connect the documentation to a visit. This is one of the most requested tips that MDS encounters near the start of a deployment.
The PrimeSuite Visit is the key connection between the Clinical Document created in PrimeChart and the Superbill Summary that becomes the bridge to A/R Management for Charges associated with clinical services.
To create a visit for the Clinical Document, the following options are available:
Link a Visit to an Unsigned Document from Within the Note
- From the Clinical Document, select the Note Date link.
The Visit Information for Document dialog box is displayed. - Select the Search for Visit globe icon.
The Visit Search Dialog box is displayed. - From the Visit Search dialog box, click Search to search for an existing Visit.
- From here, you can either click the desired Visit line to select it, or click Add New to add a new Visit.
The Visit you added is linked to the Clinical Document and updated in the Superbill Summary.
Link a Visit to an Unsigned Document from Superbill Summary
- From the Superbill Summary, click the Visit Date link.
The Visit Search Dialog box is displayed. - From the Visit Search Dialog box, click Search to search for an existing Visit.
- From here you can either click the desired Visit line to select it or click Add New to add a new Visit.
- The visit you added is linked to the Superbill Summary and updated in the Clinical Document that generated it.
Note: If a Visit is not linked to a Clinical Document with a status of In Progress (the document has been saved but not signed), you can link the Visit from the Superbill Summary Visit Date link. After a Clinical Document has been signed (Authenticated), the Visit Date link is no longer available in the Superbill Summary.
Link a Visit to a Signed (Authenticated) Clinical Document
To link a Visit to a signed (Authenticated) Clinical Document, you must amend the Authenticated document and link the Visit to it then save the Amended document. When the document is saved, the Superbill Summary is updated.
- From the Clinical Document, select the Amend action from the Document Sidebar.
- From the In Progress Clinical Document, select the Note Date link. The Visit Information for Document dialog box is displayed.
- Select the Search for Visit globe icon. The Visit Search Dialog box is displayed.
- From the Visit Search Dialog box, click Search to search for an existing Visit.
- From here you can either click the desired Visit line to select it or click Add New to add a new Visit.
- The Visit you added is linked to the Clinical Document and updated in the Superbill Summary.
