EHR Software Data Conversions

Greenway Prime Suite Data Conversions

A data conversion, or data migration is used to safely and efficiently move data from your current EHR software or practice management software system to your new one. Not all data conversions are created equal. A poorly planned or executed data conversion can have a dramatically negative impact on your operations, revenue cycle, and patient safety.

MDS has deep experience performing discrete data conversions from Greenway Prime Suite. Our proprietary Prime Suite migration process to the AdvancedMDathenahealth or CareCloud platforms ensures a seamless transition to either of these award-winning EHRs.

MDS also offers a secure, web-based data archiving solution for single-click access to legacy Prime Suite patient charts. Access complete demographics and discrete clinical data directly from a patient chart within your athenahealth or CareCloud EHR software system.

Data Conversion FAQs

When should an EHR data conversion be performed?

The timing and planning of your data migration is of critical concern to the operational and financial functioning of your organization. MDS ensures that the timing of your data migration is carefully considered.

We evaluate the readiness of your staff as well as offer advice on patient scheduling immediately following your data conversion and “go live”. Generally, the data migration mapping and prep work will be done in the weeks leading up to your “go live,” while the actual data migration probably will occur on a weekend in order to provide minimal disruption to the practice. Poorly planned data conversions can result in substantial risks to the practice, including lost revenue, lost data, and patient safety concerns.

Why would our practice need a data conversion?

There may be some cases where it may not make financial sense to pay for a data migration at all. Instead you may wish to use your internal resources and staff, particularly if you are a smaller practice. It depends on many factors, such as how long you have been on your current practice management or EHR system, the quality or integrity of the data in your current software, the skills and available time of internal staff, and your budget. MDS can help evaluate all of these options and work with you on the most financially and operationally sound plan for your practice.

Today I called Mike in your IT department and he assisted me with unlocking the encrypted data and verifying it. Everything looks fine. I must commend you for this service. I have dealt with many companies on projects like this, and have never seen results which are as thorough as these. The turnaround time was exceptional, and you have provided service above and beyond what I expected. I particularly appreciated Mike’s assistance today. Thank you all, and perhaps we will do business together again someday. You will certainly have my recommendation for any providers who are seeking a vendor for a medical practice EHR. Well done!

What are the risks of an EHR data conversion?

The process of successfully migrating from one EHR to another is rife with failure points. If it wasn’t difficult enough to make the decision to adopt your first EHR system, replacing your EHR compounds the likelihood of more serious issues occurring.

Replacement EHR software purchases comprise a large part of today’s ambulatory healthcare software market. We regularly talk to medical practices on their 3rd, 4th, or even 5th system. There are many reasons why provider groups are electing to replace (and re-replace) systems. But, even before wasting time on EHR demos, you should ask a lot of questions about the vendor’s approach to migrating their data.

What EHR data migration questions should I ask my vendor?

  • Has the vendor converted from your exact EHR software before? How many times?
  • What guarantees does the vendor offer?
  • When is the data conversion performed? Discuss timing and deadlines.
  • What is being converted? Just patient demographics or discrete clinical data?
  • Does the conversion include appointment history, insurance carriers, and patient insurance plans?
  • Who is cleaning up the data? What problems do you currently have with your data?
  • Who is responsible for obtaining the data from your existing vendor?
  • How is the data conversion timed with your go-live on the new software?
  • What are the additional costs for migrating over various parts of the data?
  • What contingency plans are in place in case something goes wrong?

Do you offer data conversions from Greenway Prime Suite?

Many practices are electing to migrate from Greenway Prime Suite to a new, natively cloud-based EHR such as athenahealth, AdvancedMD, or CareCloud.

MDS has extensive experience converting discrete data from Greenway Prime Suite and has proprietary technology to ensure a successful migration to athenahealth, AdvancedMD, or CareCloud. In addition, we offer a web-based Greenway Prime Suite archive solution that provides one-click access to your legacy Prime Suite data right within athenahealth, AdvancedMD, or CareCloud.

We know you have a lot of reasons why you may be looking at replacing your current practice management or EHR software, so let’s jump right in with the top reasons and questions that we are seeing from provider groups:

Which EHR software systems do you have experience performing data migrations?

MDS Medical can migrate your data to athenahealth or CareCloud from many common electronic health record software systems, including (but not limited to):

  • ADP AdvancedMD
  • Allscripts Professional™
  • Allscripts TouchWorks®
  • Aprima™
  • athenahealth
  • eClinicalWorks®
  • Epic
  • eMDs
  • GE Centricity
  • gloStream
  • Greenway Intergy
  • Greenway Prime Suite
  • Kareo
  • MediTech
  • NextGen Healthcare
  • Practice Fusion

Please contact us if your current software is not on this list. Our data conversion experts can evaluate your system and needs and advise you on the most cost-effective option for migrating your data.

What do we do if our EHR software has been sunsetted or discontinued?

What do you do when your EHR vendor announces that your EHR will be “sunsetted” or “discontinued”?

If you find yourself in the unfortunate circumstance of learning that your product has been sunsetted (discontinued or no longer developed or supported), or your vendor has gone out of business – you might be worried about the expense of migrating to a new system. Sometimes the vendor will offer a free data conversion to their “move forward” product. Many groups may choose the move forward product, only because it appears to be the path of least resistance. However, we’ve seen large EHR vendors repeatedly sunset products when they have more than one product in a particular space.

Sometimes, the sunsetting of your EHR can provide you with a unique opportunity to shop for EHRs again. You have an opportunity to choose the best vendor and system for your practice. Having some experience in the area will put you in a stronger position to ask vendors the right questions.

Do we need a data conversion from our old EHR to our new EHR?

A data conversion is used to safely and efficiently move data from your old system to your new one. Not all data conversions are created equal. In fact, a shoddy data conversion can have a dramatically negative impact on your overall success, and even impact patient safety.

There may be some cases where it may not make financial sense to pay for a data migration at all. Instead you may wish to use your internal resources and staff, particularly if you are a smaller group. It depends on many factors, such as how long you have been on your current practice management or EHR system, the quality or integrity of the data in your current software, the skills and available time of internal staff, and your budget.
