Entering New Patients
Using PracticePoint Manager's patient registration window, staff can easily add and schedule patients with a minimal amount of required information. For example, only a patient's name, date of birth and provider are required to schedule an appointment for a new patient; this ease of entry increases efficiency of busy administrative staff while increasing patient satisfaction with the scheduling process! Of course, it’s always a good idea to get as much information as possible at the patient’s first visit. Home and work phone numbers, and employer name for both patient and responsible party are vitally important if collection becomes a problem. It is also advisable to give the patient a copy of your practice’s credit policy that clearly states the payment terms and conditions. By informing the patient of your policies and maintaining up-to-date information, you have the resources to keep your practice profitable and collection costs down.
Responsible Party
The individual or entity that is ultimately responsible for a patient’s account is called the responsible party. A responsible party can be a head of household, an employer, attorney,or other entity.
• Each responsible party is tied to an account number and account type.
• An unlimited number of patients can be assigned to a responsible party.
Patient Coverage Plans
One of the crucial areas of any practice management system is insurance processing. PracticePoint Manager has the ability to keep multiple coverages per patient (including managed care plans), file claims sequentially, then if permitted, bill the responsible party for any disallowed or remaining charges on the account. The following pages describe how to set up coverage plans for your patients.
View and Copy Coverage
Staff can view insurance coverage easily with the click of a button from the patient registration window. The Copy Coverage function of PracticePoint Manager is designed to save time and reduce keying errors when adding new patients. With just a click of the mouse, you can copy insurance coverage, benefits and proration data from one family member to the new patient.
Patient Memos
Patient memos provide a convenient method of tracking information or alerting your staff about a patient. Four types of memos are available.
• Private—are displayed by clicking the Memos button on Patient Registration.
• Display—appear every time the patient is accessed in PracticePoint Manager or the Appointments module. Display memos also show when a patient Referral Plan is set up as the Charge Default, and there is an entry in either the Maximum Charge Amt or Max Authorized Visits field, even when there is no display memo text.
• Statement—are printed on statements (requires statement form changes).
• Insurance—are printed on insurance claims (requires insurance form changes). Display memos are commonly used to identify poor credit risks, allergic reactions, physical handicaps or other information important to your medical staff. Patient referral data displays across the bottom of the display memo box, including referring provider, maximum visits allowed and used, maximum dollar amount allowed and used, and referral expiration date.
Referrals
PracticePoint Manager allows your practice to track both inbound and outbound patient referrals. Inbound referrals can be carried over to Charge Entry to save time as well as to update referral charges and visits used. Each patient may have multiple referrals on file.
Employer Information
Employer information is kept by patient as well as by responsible party. This becomes part of a complete family profile that is beneficial for collection purposes. Patient employer data may also print on insurance or worker’s compensation claims, if necessary.
Permanent Diagnosis
Patients with a chronic disorder or terminal illness can be assigned permanent diagnoses in their patient record. These diagnoses will be presented during Charge Entry and may be posted with the charge at the operator’s discretion. Each patient can have an unlimited number of permanent diagnoses assigned to them.
Letter History and Patient Notes
As part of a complete patient profile, the system maintains a record of letters that have been automatically sent to a patient, such as recall letters and dunning letters. You can also track your own letters by entering the letter information in this window. Text-based Patient Notes can be kept for each patient in the Patient Notes portion of PracticePoint Manager. They can be used to store medical history, test results, allergies, prescriptions, or any notes specifically related to a specific patient.
Patient History
When answering questions or reviewing patient charges, it is imperative to have complete information and be able to get to it quickly. PracticePoint Manager gives you the ability to view all the financial activity for a patient on the Patient History window. In addition, you can see more detailed information about a specific charge, payment or adjustment transaction with just a click of the mouse or by pressing the Enter key.
